The Challenge

Crystal Clear’s growing business demanded excellent customer service, and they needed System Integrations with eCommerce Software. This could not be achieved without accurately synchronizing inventory, sales, and accounting across multiple platforms. Their operations were split into B2B and B2C segments. They used WooCommerce for B2B orders and Shopify for B2C orders

They wanted to use HubSpot for sales CRM, Xero for accounting, and Linnworks for multi-channel centralized inventory management.  Additionally, Stripe was used as their payment gateway. 

However, many of these processes were managed manually, with the team relying heavily on paper-based methods to track orders, inventory, and financial transactions. This manual approach was time-consuming, prone to errors, and made it difficult to maintain real-time visibility across platforms.

Managing multiple platforms without automation presented challenges in maintaining continuous data flow and operational efficiency. Without system integrations syncing information bi-directionally, it was difficult to streamline inventory management, customer relationship handling, and invoicing processes. This complexity slowed operations and made it harder to achieve the efficiency and consistency needed to support their growing business.

The Technology Challenges

The primary challenge was integrating various platforms—WooCommerce, Shopify, HubSpot, Xero, Linnworks, and Stripe—into a cohesive, automated system.

Satva Solutions developed a web application as a central hub, facilitating seamless synchronization between WooCommerce, Shopify, HubSpot, Xero, Linnworks, and Stripe. Here’s how the solution is structured:

  • Customer Data Synchronization: New customer orders are automatically created in HubSpot, ensuring that the sales team has up-to-date information. These details are also synchronized with Linnworks and Xero, maintaining consistency across platforms.
  • Order Management: The integration allows for automated order processing. B2B and B2C orders are pulled from WooCommerce and Shopify, respectively, and synchronized across HubSpot (for sales tracking), Linnworks (for inventory updates), and Xero (for accounting). This eliminates the need for manual data entry and significantly reduces processing time.
  • Inventory Management: Real-time synchronization between Linnworks and other platforms ensures that stock levels are accurately reflected, preventing over-selling and under-stocking issues.
  • Financial Integration: Stripe’s payment transactions are directly integrated with Xero, allowing for automatic invoice generation and accurate financial reporting. This integration also manages Stripe’s transaction fees and payouts, ensuring Crystal Clear’s financial records remain precise and up-to-date.
  • User-Friendly Interface: The web app features a dashboard that provides Crystal Clear’s team with real-time visibility into orders, inventory levels, and financial data. The solution also includes comprehensive sync logs, allowing the team to track the status of data synchronization and quickly resolve any issues
