Roles and Responsibility in IT Project Management:

In IT Project management, the coordinator ideally performs many tasks during the whole day. And this role covers a lot of responsibility in the organization like.

  • IT Project Coordinator is involved from the initial step of the project to the last step of the project until the delivery source code of the project to the client.
  • He/She keeps an eye on the tasks after the planning phase.
  • The Project Coordinator’s role is to coordinate activities schedule all tasks and Notify any task schedule to the project manager. Reporting to PM if any coordination issues which the Coordinator cannot be resolved.
  • Needs to define teams which are made with competent skilled person.
  • Project coordinators have expertise in scheduling.
  • Schedule all tasks using the IT project management tool to define those tasks for selected team members for the project.
  • Ideally, After getting final approval from the PM for any activity, the project coordinator schedules all tasks of any project, making certain that all scheduling conflicts are resolved with routine updates with the help of the PM.
  • Update all information and report to the project manager about any issue during the execution of any task at the end of the day.
  • The project coordinator keeps an eye on all phases of the project and gives day-to-day updates to the client and project manager.
  • Inform the accountant after all work is done on any project to generate invoices and a task list for daily reports for all projects.
  • Depending on the skills and experience of the Project Coordinator, he/she can also be involved in the Quality and Requirements Management Areas as well if a coordinator has that much expertise.
  • Basically, the Project co-coordinator is a subset of the project manager. So she/he is reduced work of project manager. He/She can perform administrative duties like maintenance of project documentation, plans, and reports.

Challenges in IT Project Management

  • IT project coordinator’s major challenge is that he/she doesn’t have that much authority like Project Management. The project coordinator always seeks help from the PM to finalize any decision related to a project and she needs the PM to resolve any issue/conflict in any project. That is the key reason why PM is in demand.
  • Every day, She/he used to talk with different skilled people like designers, clients, developers & project managers to solve any query in any of the projects.
  • Sometimes developer says something and clients want something else. So that part is most challenging to conduct. Sometimes client do not understand technical queries so it is the hardest part to explain them. Sometimes developers get confused about what client actually needs because sometimes clients use dual statements for the same task.
  • In any organization, Multicultural people exist. So It is challenging duties to resolve any conflict in between two people who come from different backgrounds. The project coordinator has to explain to them they all are part of this company. And the company never achieve any success if one of them is not part of any work in the company. Basically, It is a team effort when any project is successful in the organization.

She/he will bring the following advantages to the project:

  • Reduce communication of PM in any of the projects.
  • Time Zone Management means the Project coordinator manages different time zones while dealing with foreign clients to resolve any query in the project.
  • Cross Cultural Management including HR issues.
  • Creating Teams based on competencies and skills. For example in the Agile development process for Enterprise Development, there are two people working in “Pairs” where a more experienced developer is paired with a relatively less experienced developer or a new team member to bring the person up to a particular level. The IT project coordinator can decide which team members or developers will be paired.
  • Assign any task based on the competencies of the team members as he/she knows the team member’s limitations.

Conclusion:

Research indicates a strong relationship between trust and productivity. Based on trust productivity increases or decreases. One more challenge for the coordinator is to achieve trust from all team members while you are working with a leading Integration IT Company.
