What Is the QuickBooks Online MCP Connector? The QuickBooks Online MCP Connector gives AI assistants controlled access to multiple connected QuickBooks Online companies through a single connection.Accounting and bookkeeping teams can ask questions about individual client companies, run QuickBooks financial reports, retrieve accounting data, and, where permitted, perform actions such as creating customers, invoices, and payments. The flow is straightforward: QuickBooks Online Companies → MCP Connector → AI Assistant → Reports, Answers, or Approved ActionsEach question can target a specific company without requiring users to log into separate QuickBooks files or change the default company. If your use case extends beyond AI-assisted reporting and requires deeper application-to-QuickBooks workflows, Satva also builds custom integrations using the QuickBooks Online API.
Step 1One QuickBooks MCP Connection for Every Client CompanyConnect once. Every QuickBooks company on that key is open to every question, sandbox included. One key covers every company you connected, with sandbox and production sitting side by side. Nothing moves into a separate testing environment. Name the company in the question itself. The default stays where it was, so a quick look at a second client does not knock the first one out of place. Ask what is connected and you get the list back: company name, environment, and which one is currently the default. Ask for a health check and every connection is probed live, so you find out a token has expired before you build a month-end pack on it, not during. For accounting firms managing many client entities, this same multi-client challenge often appears across reconciliation, transaction processing, document handling, and financial reporting workflows.Changing the default is a sentence: “Switch to the sandbox company.”
Step 2Native QuickBooks Reports, Not Reconstructed NumbersThis is the part accountants care about, so we say it plainly: the numbers are not reconstructed. We do not add up invoices and bills and call the total a profit and loss. Each report is the report QuickBooks itself produces, requested by name. Thirty-two report types: profit and loss, balance sheet, trial balance, general ledger, AR and AP aging, cash flow, tax summary, each one its own named request. The figures match what you see in QuickBooks because they come from the same endpoint QuickBooks uses. Nothing is recalculated on our side. Ask for the P&L, and you get the P&L. Every report has its own name, so your assistant offers it directly instead of hiding it behind a generic query. This type of direct accounting-system access is also becoming a practical foundation for AI-driven finance workflows, where assistants can retrieve financial information without recurring CSV exports and uploads. Step 3QuickBooks Read/Write Access, Controlled by DeploymentCreate a customer, raise an invoice, record a payment, or lock it to read-only and leave it there. 118 tools in total: lookups, reports, and real writes across customers, invoices, payments, bills, and vendors. We scope write access when we deploy it. A firm that wants a research assistant and nothing else gets exactly that. Every call arrives through a secured gateway. A stray desktop client pointed at your endpoint is refused, not served. We demo writes against a sandbox company. We don’t create a test invoice inside a client’s live file to make a point. An invoice raised from a plain-English instruction, in a sandbox company
Ten things to type on day oneThese are the prompts we use in the demo. Nothing is rephrased for the website. Once your QuickBooks companies are connected, the MCP connector can handle questions and actions like these in plain English. “Show my companies”: everything on the key, and which one is active. “List recent invoices”: the last ten for the active company. “Who owes us money?: AR aging, overdue first “This year’s P&L”: profit and loss for the fiscal year “Balance sheet snapshot”: as at today “What do we owe vendors?”: AP aging “Create a customer”: name and email, sandbox. “Raise an invoice”: one line item, named customer. “Record a payment”: mark a demo invoice paid. “Switch company”: move the default to the sandbox tenant.
