Step 1

Upload Receipts. Skip the Manual Work.

Receipts are uploaded as image files (PNG, JPG) or PDFs and processed in the background using AI extraction.

Navigate to Documents > Receipts from the left sidebar.

Click the Upload Receipts button (top-right of the Receipts page).

Select your file(s). The platform immediately queues them for background AI extraction.

An “Extraction Started” notification confirms the file is being processed. A “Processing 1 file” panel appears at the bottom-right. You can navigate away, processing continues in the background.

The receipt appears in the list with status Pending until extraction completes.

Step 2

AI That Reads Your Receipts

After AI extraction, the receipt is placed in Draft status. Click any receipt in the list to open the Receipt Detail view, where you can review and correct the extracted data before approval.


2.1, Vendor Recognition
The Vendor Details section shows the extracted vendor name and address. The vendor is automatically matched against your existing QuickBooks vendor list. If the vendor does not exist, it will be created in QBD during sync.
2.2, QuickBooks Setup
The QuickBooks Setup panel on the right side of the form contains two critical fields:

Payment Account (QB) The QBD bank or credit card register to debit. This must match an account in your QuickBooks Chart of Accounts.

The Payment Account you select determines the QBD transaction type that will be created during sync. See Section 3 for details.

Step 3

Dynamic QBD Transaction Types

Unlike bills, receipt transaction types are determined automatically based on the Payment Account you select. You do not need to manually choose a type in most cases.

Step 4

Approving and Queueing the Receipt

Once the receipt data is verified and the payment account is confirmed, the receipt is ready to be approved and sent to QuickBooks Desktop.

Click the green Approve (✓) button at the bottom-right of the Receipt Detail form.

The platform validates the receipt checking that a payment account is selected and all required fields are complete.

The receipt status changes to Approved, then immediately to Queued as it is placed in the sync queue for the Web Connector.

A confirmation banner “Receipt queued for QuickBooks Desktop sync! The connector will pick it up on the next poll.” appears at the top of the screen.

A blue info panel shows “Queued for QuickBooks Desktop” with details about the tax/rounding account requirement and connector status.

Your receipt is now in the sync queue and will be picked up by the Web Connector on the next poll.

Step 5

Running the Web Connector Sync

The QuickBooks Web Connector is a desktop application that bridges the Accounting Automation platform with your QuickBooks Desktop company file. It polls for queued receipts and posts them automatically.

Open the QuickBooks Web Connector application on your desktop. Ensure QuickBooks Desktop is open and the correct company file is loaded.

Check the checkbox next to the Accounting Automation connector entry.

Click Update Selected to run the sync immediately. Alternatively, the Web Connector will auto-sync on its configured schedule.

The Web Connector fetches all queued receipts and posts them to the open QBD company file.

Step 6

Verifying the Sync: Posted Status

After the Web Connector sync completes, the platform updates each receipt’s status automatically.

Success, Receipt Posted: The receipt status changes to Posted in the Accounting Automation platform. A “Posted to QuickBooks Desktop” badge appears at the bottom of the Receipt Detail form. The transaction is immediately visible in QBD under the corresponding bank or credit card register.
