Step 1

Upload Bills. Let AI Handle the Extraction.

Getting bills into QuickBooks starts with a simple upload.

Upload one or multiple PDF invoices and the platform automatically begins processing them in the background. AI reads the document, identifies key accounting information, and prepares everything for review.

What happens automatically?

Navigate to Documents > Bills from the left sidebar.

Click the Upload Bills button (top-right of the Bills page).

Select your PDF file(s). The platform immediately queues them for background AI extraction.

A “Processing 1 file” notification appears at the bottom-right. You can navigate away, processing continues in the background.

The bill appears in the list with status Pending until extraction completes.

Smart Bill Data Extraction

No more manual typing of invoice information.

The platform automatically captures critical bill information directly from the document, including:

The right panel of the detail view shows all extracted bill fields. Verify the following:

Bill #

The invoice or reference number from the document.

Bill Date

The date printed on the invoice.

Due Date

The payment due date. Highlighted in red if overdue.

Terms

Payment terms (e.g., Net 30). Fill in if not extracted.

Vendor

Matched against your QuickBooks vendor list. Auto-created in QBD if new.

QBD Type

The transaction type to create in QuickBooks Desktop (see Section 3).

2.2, Vendor & Buyer Details
The form shows Vendor Details (name, address, GSTIN/PAN for Indian vendors) and Buyer Details (your company information). These are populated from the PDF and can be edited inline.

Scroll down to the LINE ITEMS section to review each extracted line:

Step 4

Review with Confidence

Once you have verified the extracted data and selected the correct QBD transaction type, the bill is ready to be approved and sent to QuickBooks Desktop.

Steps to Approve

Click the green Approve (✓) button at the bottom-right of the Bill Detail form.

The platform runs validation checks (e.g., confirming a payment account is set for check/card types).

The bill status changes to Approved, then immediately to Queued as it is placed in the sync queue for the Web Connector.

A confirmation banner “Already queued or posted” appears at the top of the screen.

Seamless QuickBooks Desktop Sync

Approved bills flow directly into QuickBooks Desktop through the Web Connector

Automated Sync Process

Open the QuickBooks Web Connector application on your desktop. Ensure QuickBooks Desktop is open and the correct company file is loaded.

Check the checkbox next to the Accounting Automation connector entry.

Click Update Selected to run the sync session immediately. Alternatively, the Web Connector will auto-sync on its scheduled interval.

The Web Connector fetches all queued bills and posts them to the open QBD company file.

Step 6

Real-Time Posting Status

After the Web Connector sync completes, the platform updates each bill’s status automatically.

Success: Bill Posted
When a bill is successfully synced:

  • The bill status changes to Posted in the Accounting Automation platform.
  • A “Posted to QuickBooks Desktop” badge appears at the bottom of the Bill Detail form.
  • The transaction is recorded in QBD with the assigned Vendor, Date, Ref No., Amount, and line-item account mappings.

Yes. Go to Documents > Bills and click Upload Bills to select multiple PDF files at once. Each file is queued for AI extraction immediately, and you can navigate away while they process in the background.
QWhat should I check in the Line Items section before approving a bill?
For each line, verify the description, GL Account (must be Expense, COGS, or Other Expense), quantity, unit rate, and tax amounts. You can also assign an optional Class for departmental or project-level reporting before approving.
QDo I have to upload supplier invoices one at a time?
No. You can select and upload as many PDFs as you want in a single batch. The platform processes every file simultaneously in the background so your whole inbox is handled at once.
QHow will I know if a bill is about to be overdue?
Due dates that have already passed are flagged in red automatically. Your bills list gives you a clear, at-a-glance view of what needs attention so nothing slips past you at month end.
QWill the expense categories be filled in correctly?
Yes. Our AI maps each line item on the invoice to the correct GL account in your Chart of Accounts the same way an experienced bookkeeper would. You review the suggestions and approve, rather than doing it from scratch.
QWhat if the supplier isn’t in our QuickBooks vendor list?
The platform creates the new vendor in QuickBooks automatically during sync including their name, address, and GSTIN or PAN if present on the invoice. No manual vendor setup required.
QCan we track which department or project each bill belongs to?
Yes. Each line item can be assigned a Class before the bill is approved. This flows through to QuickBooks so your reports automatically break expenses down by department, project, or location.
